TERMS AND CONDITIONS
OF CARRIAGE
(”Terms and Conditions”)
”Shipment” means all documents or parcels that travel under one waybill and which may be carried by any
means DHL chooses, including air, road or any other carrier. A ”waybill” shall include any label produced by
DHL automated systems, air waybill, or consignment note and shall incorporate these Terms and Conditions.
Every Shipment is transported on a limited liability basis as provided herein. If Shipper requires greater
protection, then insurance may be arranged at an additional cost. (Please see below for further information).
”DHL means any member of the DHL Express Network.
IMPORTANT NOTICE
When ordering DHLs services you, as ”Shipper”, are agreeing, on your behalf and on behalf of anyone else with
an interest in the Shipment, that the Terms and Conditions shall apply from the time that DHL accepts the
Shipment unless otherwise agreed in writing by an authorised officer of DHL. Your statutory rights and
entitlements under any defined service feature (for which additional payment has been made) are not affected.
2. Unacceptable Shipments
Shipper agrees that its Shipment is acceptable for transportation and is
deemed unacceptable if:
it is classified as hazardous material, dangerous goods, prohibited or
restricted articles by IATA (International Air Transport Association),
ICAO (International Civil Aviation Organisation), any applicable
government department or other relevant organisation;
no customs declaration is made when required by applicable
customs regulations; or
DHL decides it cannot transport an item safely or legally (such items
include but are not limited to: animals, bullion, currency, bearer form
negotiable instruments, precious metals and stones, firearms, parts
thereof and ammunition, human remains, pornography and illegal
narcotics/drugs).
3. Deliveries & Undeliverables
Shipments cannot be delivered to PO boxes or postal codes. Shipments
are delivered to the Receivers address given by Shipper (which in the
case of mail services shall be deemed to be the first receiving postal
service) but not necessarily to the named Receiver personally.
Shipments to addresses with a central receiving area will be delivered
to that area. If Receiver refuses delivery or to pay for delivery, or the
Shipment is deemed to be unacceptable, or it has been undervalued for
customs purposes, or Receiver cannot be reasonably identified or
located, DHL shall use reasonable efforts to return the Shipment to
Shipper at Shippers cost, failing which the Shipment may be released,
disposed of or sold by DHL without incurring any liability whatsoever to
Shipper or anyone else, with the proceeds applied against service
charges and related administrative costs and the balance of the
proceeds of a sale to be returned to Shipper.
4. Inspection
DHL has the right to open and inspect a Shipment without prior notice
to Shipper.
5. Shipment Charges & Billing
DHLs Shipment charges are calculated according to the higher of actual
or volumetric weight and any Shipment may be re-weighed and
re-measured by DHL to confirm this calculation. Shipper shall pay or
reimburse DHL for all Shipment charges, storage charges, duties and
taxes owed for services provided by DHL or incurred by DHL on
Shippers or Receivers or any third party’s behalf and all claims,
damages, fines and expenses incurred if the Shipment is deemed
unacceptable for transport as described in Section 2.
6. DHLs Liability
DHL contracts with Shipper on the basis that DHLs liability is strictly
limited to direct loss only and to the per kilo/lb limits in this Section 6.
All other types of loss or damage are excluded (including but not limited
to lost profits, income, interest, future business), whether such loss or
damage is special or indirect, and even if the risk of such loss or damage
was brought to DHLs attention before or after acceptance of the
Shipment since special risks can be insured by Shipper. If a Shipment
combines carriage by air, road or other mode of transport, it shall be
presumed that any loss or damage occurred during the air period of
such carriage unless proven otherwise. DHLs liability in respect of any
one Shipment transported, without prejudice to Sections 7-11, is limited
to its actual cash value and shall not exceed the greater of $US 100 or:
$US 20.00/kilogram or $US 9.07/lb for Shipments transported by air
or other non-road mode of transportation; or
$US 10.00/kilogram or $US 4.54/lb for Shipments transported by road
(not applicable to the US).
Claims are limited to one claim per Shipment settlement of which will be
full and final settlement for all loss or damage in connection therewith.
If Shipper regards these limits as insufficient it must make a special
declaration of value and request insurance as described in Clause 8
(Shipment Insurance) or make its own insurance arrangements, failing
which Shipper assumes all risks of loss or damage.
7. Time Limits for Claims
All claims must be submitted in writing to DHL within thirty (30) days
from the date that DHL accepted the Shipment, failing which DHL shall
have no liability whatsoever.
8. Shipment Insurance*
DHL can arrange insurance for Shipper covering the actual cash value in
respect of loss of or physical damage to the Shipment, provided the
Shipper completes the insurance section on the front of the waybill or
requests it via DHLs automated systems and pays the applicable
premium. Shipment insurance does not cover indirect loss or damage,
or loss or damage caused by delays.
*Not available for mail services
9. Delayed Shipments
DHL will make every reasonable effort to deliver the Shipment accor-
ding to DHLs regular delivery schedules, but these are not guaranteed
and do not form part of the contract. DHL is not liable for any damages
or loss caused by delays.
10. Circumstances beyond DHLs control
DHL is not liable for any loss or damage arising out of circumstances
beyond DHLs control. These include but are not limited to: -”Act of God”-
e.g. earthquake, cyclone, storm, flood, fog; ”Force Majeure” - e.g. war,
plane crash or embargo; any defect or characteristic related to the nature
of the Shipment, even if known to DHL; riot or civil commotion; any act
or omission by a person not employed or contracted by DHL e.g.
Shipper, Receiver, third party, customs or other government official;
industrial action; and electrical or magnetic damage to, or erasure of,
electronic or photographic images, data or recordings.
11. Warsaw Convention
If the Shipment is transported by air and involves an ultimate
destination or stop in a country other than the country of departure, the
Warsaw Convention, if applicable, governs and in most cases limits
DHLs liability for loss or damage.
12. Shipper’s Warranties and Indemnity
Shipper shall indemnify and hold DHL harmless for any loss or damage
arising out of Shippers failure to comply with any applicable laws or
regulations and for Shippers breach of the following warranties and
representations:

and accurate;

employees;

during preparation, storage and transportation to DHL;

ensure safe transportation with ordinary care in handling;
all applicable customs, import, export and other laws and regulations
have been complied with; and

and the Terms and Conditions constitute binding and enforceable
obligations of Shipper.
13. Routing
Shipper agrees to all routing and diversion, including the possibility that
the Shipment may be carried via intermediate stopping places.
14. Governing Law
Any dispute arising under or in any way connected with these Terms and
Conditions shall be subject, for the benefit of DHL, to the non-exclusive
jurisdiction of the courts of, and governed by the law of, the country of
origin of the Shipment and Shipper irrevocably submits to such
jurisdiction, unless contrary to applicable law.
15. Severability
The invalidity or unenforceability of any provision shall not affect any
other part of these Terms and Conditions.
1. Customs, Exports and Imports
DHL may perform any of the following
activities on Shippers behalf in order to
provide its services to Shipper: (1)
complete any documents, amend product
or service codes, and pay any duties or
taxes required under applicable laws and
regulations, (2) act as Shippers forwarding
agent for customs and export control
purposes and as Receiver solely for the
purpose of designating a customs broker

Obtain Answers on Dhl Waybill

  1. What is a DHL Waybill Form?

The DHL Waybill Form is a crucial document used for shipping packages through DHL services. It serves as a contract between the shipper and DHL, detailing essential information about the shipment, such as the sender's and recipient's addresses, the contents of the package, and payment details. The Waybill is non-negotiable, meaning it cannot be transferred to another party. This document helps ensure that packages are delivered accurately and efficiently.

  2. How do I fill out the DHL Waybill Form?

Filling out the DHL Waybill Form involves several key steps:

    • Sender Information: Provide your name, company name, address, and contact details. Make sure to include your account number if applicable.
    • Recipient Information: Enter the recipient's name, company name, delivery address, and contact information. Note that DHL cannot deliver to a PO Box.
    • Shipment Details: Specify the total number of packages, weight, and dimensions. Include a full description of the contents, as well as any required customs information if applicable.
    • Payment Information: Indicate how the shipment will be paid for, whether through cash, credit card, or another method.
    • Signature: Finally, sign and date the form to confirm your agreement to DHL's Terms and Conditions.
  3. What should I include in the shipment details section?

The shipment details section is vital for ensuring proper handling and delivery. Include the following:

    • Total Number of Packages: State how many packages are being sent.
    • Total Weight: Provide the total weight of the shipment.
    • Dimensions: List the length, width, and height of each package in centimeters.
    • Full Description of Contents: Clearly describe what is inside the package, including quantity and type of items.
  4. What is the significance of the shipment insurance option?

Shipment insurance is an important consideration for valuable or fragile items. By selecting insurance, you protect your shipment against loss or damage during transit. The insured value should reflect the actual cash value of the items being shipped. Keep in mind that not all payment options for insurance are available in every country. If you choose to insure your shipment, ensure that you complete the relevant section on the Waybill Form and pay the associated premium.

  5. How can I track my shipment using the Waybill Form?

Tracking your shipment is straightforward. Each Waybill Form includes a unique tracking number. To track your package, visit the DHL website at www.dhl.com and enter your tracking number in the designated field. This will provide you with real-time updates on the status and location of your shipment, ensuring you stay informed throughout the delivery process.

Common mistakes

When filling out the DHL Waybill form, individuals often make several common mistakes that can lead to delays or complications in shipment processing. One frequent error is failing to provide a complete and accurate recipient address. Incomplete addresses can result in delivery failures, as DHL requires precise details to ensure that shipments reach their intended destinations.

Another common mistake is neglecting to include the postcodes or zip codes for both the sender and recipient. This information is crucial for sorting and routing packages efficiently. Omitting this detail can significantly hinder the shipping process and may lead to additional charges for reshipping or delays.

Additionally, some users overlook the importance of specifying the total weight and dimensions of the shipment. Accurate measurements are essential for calculating shipping costs and ensuring compliance with weight restrictions. Inaccurate information can result in unexpected fees or even the rejection of the shipment.

People also frequently fail to sign the Shipper’s agreement section. This signature is a confirmation that the shipper agrees to DHL's terms and conditions. Without this signature, the shipment may be delayed or returned, as DHL cannot process the shipment without proper authorization.

Another mistake involves the insurance details. Shippers often forget to indicate whether they want shipment insurance and to specify the insured value. This oversight can leave valuable items unprotected during transit, leading to potential financial loss in case of damage or loss.

Finally, some individuals do not provide a full description of the contents of the shipment. This information is essential for customs clearance and helps avoid delays at international borders. Providing vague or incomplete descriptions can result in additional scrutiny or even confiscation of the shipment.

Documents used along the form

When shipping with DHL, the Waybill form is essential, but there are other important documents that often accompany it. Each of these documents serves a unique purpose, ensuring that your shipment is processed smoothly and complies with regulations. Below is a brief overview of four commonly used forms alongside the DHL Waybill.

  • Commercial Invoice: This document provides detailed information about the goods being shipped, including descriptions, quantities, and values. It is crucial for customs clearance and helps determine any applicable duties and taxes.
  • Proforma Invoice: Similar to a commercial invoice, this document outlines the sale and is often used for international shipments. It is typically issued before the actual sale occurs and serves as a preliminary bill of sale.
  • Customs Declaration: This form is required for international shipments to declare the nature of the goods being transported. It helps customs authorities assess duties and ensures compliance with import/export regulations.
  • Export License: Depending on the type of goods being shipped, an export license may be necessary. This document grants permission from the government to export specific items and ensures adherence to trade regulations.

Understanding these documents can significantly ease the shipping process and help avoid potential delays. Ensuring that all paperwork is accurate and complete will contribute to a successful shipment experience.

Similar forms

  • Air Waybill: Similar to the DHL Waybill, an Air Waybill serves as a contract between the shipper and the carrier. It contains details about the shipment, such as sender and receiver information, shipment contents, and payment details, ensuring all parties are informed about the shipment's status.
  • Bill of Lading: This document is issued by a carrier to acknowledge receipt of cargo for shipment. Like the DHL Waybill, it outlines the type and quantity of goods being transported and serves as a receipt, providing evidence of the contract of carriage.
  • Proforma Invoice: A Proforma Invoice is often used in international transactions to provide a preliminary bill of sale. Similar to the DHL Waybill, it details the items being shipped, their value, and payment terms, facilitating customs clearance and payment processes.
  • Commercial Invoice: This document is a request for payment for goods shipped. It shares similarities with the DHL Waybill in that it lists the items, their value, and the terms of sale, serving as a key document for customs purposes.
  • Customs Declaration: A Customs Declaration is required for international shipments and provides information about the contents of a shipment. Like the DHL Waybill, it ensures compliance with customs regulations and includes details about the shipment's value and nature.
  • Delivery Receipt: A Delivery Receipt confirms the delivery of goods to the receiver. Similar to the DHL Waybill, it includes information about the shipment and serves as proof that the goods were received in good condition.

Dos and Don'ts

When filling out the DHL Waybill form, attention to detail is crucial. Here are ten essential tips to ensure accuracy and compliance:

  • Do double-check the payer account number and insurance details to avoid payment issues.
  • Do provide complete and accurate contact information for both the shipper and receiver.
  • Do specify the shipment's contents clearly, including quantity and description.
  • Do include the correct dimensions and weight of the packages to prevent delays.
  • Do sign the waybill to confirm your agreement with DHL’s terms and conditions.
  • Don't leave any required fields blank, as this may lead to processing delays.
  • Don't attempt to ship prohibited items, such as hazardous materials or cash.
  • Don't use a PO Box as a delivery address, as DHL requires a physical address.
  • Don't forget to attach any necessary customs documentation for non-document shipments.
  • Don't underestimate the value of your shipment; ensure that the declared value is accurate.

By following these guidelines, you can help ensure a smooth shipping experience with DHL.

Misconceptions

Understanding the DHL Waybill form is essential for anyone involved in shipping. However, several misconceptions can lead to confusion. Here are seven common misconceptions:

  • The Waybill is negotiable. The DHL Waybill is a non-negotiable document. This means it cannot be transferred to another party for ownership of the shipment.
  • All payment options are available worldwide. Not all payment methods are accessible in every country. Some locations may have restrictions on payment types.
  • Shipments can be sent to PO Boxes. DHL does not deliver to PO Boxes. Shipments must be sent to a physical address.
  • Insurance is automatically included. Shipment insurance is not automatically included. Shippers must specifically request it and may incur additional costs.
  • All contents can be shipped without restrictions. Certain items are classified as hazardous or restricted and cannot be shipped. This includes dangerous goods and illegal items.
  • Delivery times are guaranteed. While DHL aims to meet delivery schedules, these are not guaranteed. Delays can occur due to various factors beyond their control.
  • Claims for lost shipments can be made anytime. Claims must be submitted within thirty days of shipment acceptance. Failing to do so may result in the loss of the right to claim.

Addressing these misconceptions can help ensure a smoother shipping experience with DHL.
